Using e-data Features and Functions
Each person who enrolls in e-data is provided with a Home Screen from which they can access e-data tools. Please remember that you will not be able to make use of staff level e-data features and functions until you have been granted your staff level access upgrade. Once that is completed, additional headings and buttons will appear on your home screen.
Home Screen Layout
Left side of screen
The left side of the screen contains headings with buttons that can be clicked to access all features within the e-data application.
Headings on the left include:
- Personal Records: Under this heading you will find information about individual enrollees such as address, phone, emergency contact, medical information (if required), program agreements signed, etc.
- Program Resources: Under this heading you will find buttons provide tools for managing your program, your volunteers and, if you are assigned to 4-H, your 4-H members. These buttons are labeled to indicate their functions.
- Reporting: Under this heading you will find buttons for both custom and standard reports.
- Control Panel: Under this heading you will find buttons for tools that assist you in managing your county’s contact information and hyperlinks, as well as for posting county alerts.
Right side of screen
The right side of the screen contains important notices, announcements, and upcoming activities. These are contained in four distinct boxes. State alerts are displayed in the box with the green State Alerts heading. County alerts are displayed in the box with the grey County Alerts heading. Upcoming activities relevant to your program and role are shown in the box with the blue Upcoming Activities heading. You can view detailed information about each listed activity by clicking the Details button. You can register for the activity by clicking the Register button. Once you have registered for an activity, you will see that it has been moved to the fourth box with the brown My Scheduled Activities heading. If you find you are unable to attend this activity, you may remove your registration by simply clicking Un-Register.
Center of Screen
The center of the screen displays your enrollment information along with buttons for managing that enrollment record. If you have multiple enrollments, you may use the dropdown box under the My Program Enrollments heading near the top of the screen to switch to a different program enrollment and have details of that enrollment displayed.
As you read down the center of the screen, you will see that each aspect of your enrollment is displayed. Toward the bottom of the screen you can check to see your access level settings and the date on which your enrollment was approved, as well as the person who approved it.
Near the bottom of the screen are buttons which can be used to print copies of your enrollment form, carryover that enrollment to a new program year, or delete that enrollment.
Returning to Your Home Screen
You can return to your home screen from any part of the e-data application by clicking the "My Home" button in the blue heading bar at the very top of the screen.
